The Client - Villanova University

Founded in 1842 by the friars of the Order of St. Augustine, Villanova is a comprehensive Roman Catholic institution that welcomes students of all faiths. The University offers a wide variety of degree programs through four colleges: the College of Liberal Arts and Sciences, the College of Commerce and Finance, the College of Engineering, and the College of Nursing. Villanova's more than 6,000 undergraduates come from 49 states plus Puerto Rico, the District of Columbia, and the U.S. Virgin Islands, and 29 foreign countries.

The oldest and largest Catholic university in the Commonwealth of Pennsylvania, Villanova is one of 262 institutions - and one of 18 Catholic colleges or universities - in the nation to have a chapter of the Phi Beta Kappa, the prestigious liberal arts honor society. For more than a decade, Villanova University has been ranked #1 by US News and World Report in the Best Universities-Master's category in the northern region.

The Challenge

Due to the large volume of applicants, the admissions department was swamped with paper work that was becoming a serious detriment to their ability to function efficiently. The department needed to stay competitive in responding to potential students.

The New Admission Process

  • No Data Entry: All applications (PDFs) are downloaded from Common App along with data file. Data file is processed via Nolij Transfer, matching/creating Banner records.
  • PDF inserted into Applicants Nolij Web folder.
  • Subsequent documents are scanned directly into applicants’ folder.
  • Nolij Web Workflow utilized to move applicants to the correct Admissions Counselor for processing.
  • Nolij Web Forms designed to view all applicants from same high school to see admission decision rankings with information pulled directly from Banner. The number of Banner accounts is going down while the number of Web accounts is increasing. The Nolij Web Admission form replaces 6 Banner forms.

The Results

Gains realized from using Nolij Web/Transfer included:

  • Reduction in time from when application arrives until it is in the database
  • Reduction in Processing and Review Time
  • Moved the Early Applicant response date up by four weeks
  • Improved Staff Morale
  • Counselors do not work over the Christmas Holiday anymore
  • Ease of use – end users quickly become comfortable using tool
  • Applications went up almost 100% with no increase in staff

Financial Aid

  • All documents are scanned in and linked to the student record
  • Aid Counselors use Nolij Web and Banner for all decisions
  • Multiple Workstations for scanning and processing documents
  • Utilize student workers to scan documents
  • Have staff members commit records to production

Registrar

  • Converted all Legacy System Transcripts into Nolij Web
  • All transcripts now in Nolij or Banner
  • All accepted student documents are owned by the Registrar
  • Most of colleges within the university use Nolij Web to create electronic folders
